Write a letter to a friend that you can't collect from the airport, as you have promised, because of some reason. In your letter -explain why you can't come, -guide them regarding other options to get to your home, -describe the plans you made to show them around when your friend arrives.

Dear John, I hope you and your family is in good health! I am excited about your visit to my home this summer. Unfortunately, I cannot come to pick you from airport as planned earlier. I actually took leave on the day of your arrival. An emergency client meeting was set up on the same day due to project dead lines. Since I am leading the team and my presence in the office is must. Sorry for the late notice. However, there are convenient ways to reach my home from airport. If you are carrying more luggage, then hiring cab will be the best option. Cabs are available at the exit of airport. If you just less luggage, you can directly catch the metro train that is near by the airport. I have planned our itinerary for next one week. It includes the beach visit at early morning during sunrise, followed by breakfast in the famous hotel. Then you can do some shopping in the mall that we visit in the evening.
